Executive Assistant
Job Summary:
We are seeking an experienced and highly adaptable Executive Assistant to provide comprehensive support to senior leadership, including C-level executives, Founders, and other high-ranking decision-makers. This role requires exceptional organizational skills, strong communication abilities, and the capacity to manage multiple priorities in a fast-paced, dynamic environment. The successful candidate will demonstrate discretion, professionalism, and the ability to operate seamlessly across diverse industries and business settings.
Key Responsibilities:
Manage and maintain executive calendars, including scheduling meetings, appointments, travel arrangements, and itineraries.
Act as the primary point of contact between executives and internal/external stakeholders, ensuring smooth communication flow.
Screen, prioritize, and respond to emails, phone calls, and other communications on behalf of executives.
Prepare, review, and edit reports, presentations, correspondence, and other key documents.
Coordinate and support high-level meetings, including logistics, agendas, and documentation of minutes/action items.
Handle highly confidential and sensitive information with the utmost discretion and integrity.
Support project management activities, ensuring deadlines and deliverables are met.
Assist with personal and professional tasks as needed to maximize executive efficiency.
Proactively identify opportunities to streamline processes and improve executive workflows.
Qualifications:
Minimum of 3+ years’ proven experience as an Executive Assistant, Personal Assistant, or in a similar senior administrative role supporting C-level executives or high-level leadership.
Demonstrated ability to operate in diverse industries or fast-paced business environments (e.g., corporate, startup, nonprofit, or global organizations).
Excellent organizational and time-management skills, with the ability to juggle multiple priorities under pressure.
Strong written and verbal communication skills, with the ability to draft and edit professional correspondence.
Proficiency in productivity and collaboration tools such as Microsoft Office Suite, Google Workspace, and video conferencing platforms (Zoom, Teams, etc.).
High level of professionalism, discretion, and judgment when handling confidential matters.
Bachelor’s degree preferred but not required.
Preferred Skills:
Familiarity with workplace and productivity tools such as Slack, Trello, Asana, Monday.com, or CRM systems.
Experience working with international teams, remote executives, or across multiple time zones.
Strong interpersonal skills and the ability to work effectively with stakeholders at all levels.
Proactive problem-solving abilities and a resourceful mindset.
