About the Role

SmartScale360 is hiring a Healthcare Virtual Assistant to support our U.S.-based home care and healthcare clients. You’ll assist with caregiver shift management, staff coordination, and administrative support, ensuring smooth operations and uninterrupted service coverage.

This role is ideal for candidates with healthcare or home care experience, strong organizational skills, and the ability to manage remote, time-sensitive tasks in a fast-paced environment.

Key Responsibilities

  • Monitor and manage caregiver shifts, ensuring full coverage
  • Coordinate replacements and shift swaps for absences or emergencies
  • Communicate with caregivers, clients, and internal teams regarding schedule updates
  • Maintain accurate records in EMR/CRM or scheduling platforms (e.g., WellSky, Axiscare, AlayaCare)
  • Track staff availability, attendance, and shift compliance
  • Prepare daily and weekly reports on shifts, coverage, and staffing metrics
  • Support care coordinators and operations teams to ensure seamless workforce management

Required Qualifications

  • 1+ year experience in healthcare support, virtual assistance, or shift coordination
  • Strong English communication skills (written and verbal
  • Familiarity with EMR, CRM, or scheduling systems
  • Strong organizational, multitasking, and time management skills
  • Reliable remote work setup

Work-From-Home Requirements:

  • Device: Intel i5 + 8 GB RAM minimum
  • 100 Mbps internet
  • Backup device, internet, and power supply

Preferred Qualifications

  • Experience with U.S. healthcare accounts
  • Tools: WellSky, AxisCare, ClearCare, NICE, Verint
  • Excel/reporting skills
