About the Role
SmartScale360 is looking for a highly organized and proactive Bilingual Real Estate Executive Assistant to support real estate executives with administrative, operational, and client-facing responsibilities.
This role requires fluency in English and Spanish and involves managing calendars, communications, transactions, documentation, and day-to-day business operations to ensure seamless support for a fast-paced real estate business.
Key Responsibilities:
- Manage executive calendars, appointments, scheduling, and daily priorities
- Handle email correspondence, phone calls, and client communications in both English and Spanish
- Coordinate real estate transactions, contracts, disclosures, and documentation
- Maintain CRM records, databases, and lead tracking systems
- Assist with listing management, marketing coordination, and property-related administrative tasks
- Coordinate with clients, agents, lenders, title companies, and other stakeholders
- Prepare reports, presentations, and business documents as needed
- Support operational projects and ensure timely completion of tasks and deadlines
Tools & Systems:
- CRM platforms (e.g., Follow Up Boss, Salesforce, HubSpot, KVCORE, or similar)
- Transaction management systems (e.g., Dotloop, SkySlope, DocuSign)
- Communication tools (e.g., Slack, Zoom, Google Workspace, Microsoft Office)
- Real estate listing platforms and MLS systems
- Project management tools (e.g., Asana, Trello, Monday.com, ClickUp)
Ideal Candidate:
- Fluent in English and Spanish (written and verbal)
- Highly organized, proactive, and detail-oriented
- Strong communication and client service skills
- Experience supporting real estate professionals or executives
- Comfortable managing multiple priorities in a fast-paced environment
- Tech-savvy and able to learn new systems quickly
Required Qualifications
- Proven experience as an Executive Assistant, Virtual Assistant, Real Estate Assistant, or similar support role
- Fluency in both English and Spanish with excellent verbal and written communication skills
- Experience managing calendars, scheduling, and executive-level administrative support
- Experience working with CRM systems and business software
- Strong organizational skills with the ability to multitask and meet deadlines
- Proficiency in Google Workspace or Microsoft Office Suite
- High attention to detail and accuracy in handling documentation
- Reliable remote work setup with strong internet connection
Nice to Have
- Experience supporting U.S.-based real estate agents, brokers, or investors
- Knowledge of real estate transactions, contracts, and compliance processes
- Experience with MLS platforms, Dotloop, SkySlope, or similar systems
- Background in lead management, marketing coordination, or client relations
- Experience handling bilingual customer service or sales support
